Junior Executive Assistant (f/m/d)

Purpose of Position 

Join our established Executive Assistants team where you'll play a vital role in delivering comprehensive administrative and organisational support to Awin’s Board. You will support on a variety of topics such as diary management, global travel arrangements, event planning, expense reconciliation as well as providing ad hoc support to the team as needed. We are looking for a proactive team-player, someone who thrives on working in a fast-paced, international environment. Key Tasks 

  • Support and facilitate international travel requirements, including flights, transport, accommodation and visa applications 
  • Assist with preparation, planning and organisation of various international events and meetings, such as workshops and strategy off-sites 
  • Process monthly expense claims 
  • Organise and manage all requests for board signatures as required  
  • Assist in the management of the Executive Board members’ calendars 
  • Provide ad hoc support to executives as needed 
  • Maintain and coordinate various internal schedules/logs  
  • Develop and implement strategies for improving and automating internal processes 

Skills & Expertise 

  • A minimum of three years’ experience in an administrative role i.e. Team Assistant, Personal Assistant or Office Manager within an international organisation 
  • Proven experience in coordinating international travel 
  • Ability to act independently, multi-task and prioritise within a fast-paced environment  
  • Excellent organisational and time management skills  
  • Strong team-player mentality demonstrating flexibility and responsiveness 
  • Competent MS Office skills needed in Outlook, Word, Excel and Power Point 
  • Fluency in written and spoken English, any other language is an advantage 
  • Reliability and confidentiality are a must
